Position Canceled E-Notification Letter
The Position Canceled E-Notification letter is available for use on the RMS. Applicant statuses must be manually changed to “Position Canceled – Send E-mail.” The e-notification will be sent to applicants when the position status is changed to “canceled.”

Positions in Closed Statu
Review the RMS for agency positions in “closed” status. A recent review of the RMS closed positions revealed there are positions still in the closed status since 2006. The longer a position remains in the closed status the more days are added to the time it takes to fill a position. The time it takes to fill a position ends when the position is manually designated as filled or canceled.
Social Security Numbers
Effective September 15, 2007, the optional social security number field will be removed from RMS. This means applicants will not have the option of entering a social security number in RMS. This change is necessary for consistency in protecting applicants’ personal information. The social security number can be obtained at the appropriate time during the hiring process.
Position Numbers
Effective September 15, 2007, the position number will be a required field. All position numbers must have 5-characters (alpha and/or numeric).
List of Position/Applicant Statuses
A list of applicant statuses was sent to HR Directors on September 27, 2007. The list will be updated periodically as statuses are added, deleted or changed. This updated listing is for reference only.
The listing includes all of the position and applicant statuses available for use on the RMS. The first column “requisition status” lists all job posting (requisition) statuses. The second column “applicant status” lists all of the applicant statuses and the relationship to each requisition status. The third column “What Applicants See” shows what the applicants sees when a position is at a certain status during the hiring process. For example, if a requisition is at the status “Posted (Managers can view applicants)” and the applicant status is “Under Review by Department” the applicant sees “In Progress.”
Continuous and Multiple Hire Recruitments (Status Update)
A “pooling” feature which will allow for copying applicants to continuous and multiple hire recruitments has moved to phase three of the implementation process. DHRM EEO and ITECH have reviewed the pooling feature. In phase three, selected agencies will receive a demonstration of the new feature. The implementation date is pending.
