Recruitment Management System Updates


RMS UPDATE AS OF February, 2007

Frequency of RMS Updates

New monthly RMS Updates will be posted to this site by the 10th of each month.

RMS Training

RMS training was held on February 27th and 28th at John Tyler Community College.  DHRM is working with PeopleAdmin on responses to the questions and suggestions made during the training sessions. Attendees are asked to send any additional questions, suggestions or comments from the training to rmsinquiry@dhrm.virginia.gov .  In approximately two weeks, training attendees will receive a follow-up evaluation.

RMS Survey

The RMS Survey ended on February 16, 2007.  The results will be reported in the March RMS Updates.  DHRM is working with PeopleAdmin on responses to suggestions and comments from the survey.

Sort by Date on Employment History and Educational History Data Fields 

A new system update allows RMS to sort the work history and education data fields by the most recent date. This means that work history and education will be listed in reverse chronological order with the most recent entry displaying first

Special Handling Feature

Until further notice, the special handling feature should be used only for state employees in layoff status.  If your agency would like to use the special handling feature for another reason, please contact DHRM at rmsinquiry@dhrm.virginia.gov.

Place on Hold Remove from Web

A new feature “On Hold Remove from Web” allows for temporary removal of a position from the website to update or correct a job posting.  Remember, changes to postings may impact applicants who have already applied for the vacancy.  Therefore, active and inactive applicants’ applications will have to be reviewed to determine the effect of the update and/or correction.

Designate Positions as Filled

The “Designate Position as Filled” feature closes out the job posting and ends the time it takes to fill a position. Therefore, it is important to designate a position as filled as soon as possible after a job offer is made and accepted.  Note: The time to fill a position continues to be counted until the position is “designated as filled.”

Accepting Online Application Question on Requisition

The “Does this position accept applications online?” question has been changed to a required field.

Open Until Filled Positions

Open until filled positions will not be counted in the time to fill position report.  Be sure you check the “Open until Filled” box and leave it checked even after the position is closed.  This means a position must be manually closed.  DO NOT go back to the original posting and add a closed date.  Adding a closed date and/or deselecting the “open until filled” box will count the posting in the “time to fill” numbers.

Entering Web Addresses

Do not delete the java script information from the website address.  Add the agency website in the text listed below in “red”:

Printing Applications

Some agencies have experienced instances where all of the applications from job postings are not printing. The reason for the printing issue may be the capacity of the printer buffer to handle large numbers of applications at one time or all the applications have not loaded before the print option is selected.  Therefore, wait until all the applications have loaded before selecting print.  If printing is still an issue after this, e-mail rmsinquiry@dhrm.virginia.gov.

Users to Approve

The users to approve number on the “Welcome to Internal Hiring System” web page are for DHRM use and information.

Report Access Only

The Report Access Only allows hiring manager and other designated users access to view reports without editing capabilities.

General Read Only (Agency)

The General Read Only (Agency) user type is a view only user type which allows viewing of requisitions and reports by job posting. For example, hiring managers and EEO staff can view information and reports relating to the applicant pool for a particular job posting without the ability to edit the posting.
