Recruitment Management System Updates


RMS UPDATE AS OF 12/14/06

Requesting RMS User Accounts

When creating a RMS User Account, only select the agency for which you have responsibilities for recruitment. DO NOT SELECT ALL OF THE STATE AGENCIES. Selecting all state agencies will cause the system to notify all of the agencies when the user account is approved.

Non-Selection E-Notification Letter

Effective 12/15/06, a non-selection (rejection) e-notification letter is available to send to candidates that were interviewed but not selected for the position. To send the non-selection letter, select the "Not Hired-Send Email to Applicant " applicant status. The non-selection letter will be automatically sent to applicants.

NOTE : Selecting the "Not Hired" applicant status will not generate the non-selection e-notification letter. Only the "Not Hired-Send Letter" selection will generate the letter to candidates.

Effective December 19, 2006, a RMS Quick Reference Guide will be available on the Resources for Recruiters web page at http://www.dhrm.virginia.gov/recruitment/resources.html . This resource guide is available for printing and distribution to job applicants. :

Applicant List

The system had a double entry choice for the "interviewed" applicant status. This error may have caused some of the applicants that were interviewed not to be listed on the Applicant List as interviewed. This error was corrected on 11/20/06 and the appropriate interview statuses are now being recorded. PeopleAdmin corrected any erroneous statuses for entries prior to 11/20/06.

Attach Most Recent Application Notice

On the View/Edit Posting Screen under the Action column the message "Attach Most Recent Application" will be displayed anytime an applicant updates his or her application. The system automatically provides this information. Agencies should NOT use the updated version of the application unless the applicant requests that this application be substituted for the original application. This is necessary because applicants generally update or modify applications when applying for different state positions. Screening the wrong version of the application may adversely impact applicants.

State Field

Change the State field on the application to a drop down (e.g. "VA - Virginia").
